BOOKING TERMS & CONDITIONS

Pearl Tours & Travels (Pvt.) Ltd. accepts bookings based on the following terms and conditions.

COSTS & SERVICES Tour Pricing Basis

The tour costs provided are calculated based on the proposed itinerary and are reflective of the services and arrangements detailed therein.

Inclusions in Tour Cost

The quoted price includes services such as transportation, applicable road taxes, and hotel accommodation on a bed and breakfast basis (where applicable), or as otherwise specifically mentioned in the itinerary.

Clarity of Service Inclusions and Exclusions

The tour cost breakdown clearly differentiates between “Services Included” and “Services Not Included”, ensuring transparency regarding what is covered under the package and what is not.

Price Adjustments

Tour costs are subject to change if there are revisions in government taxes, levies, or supplier rates prior to the commencement of the tour.

Non-Binding Quotations

All tour quotes are indicative and subject to change without prior notice.

Room and Transport Sharing Policy

Prices are quoted on a per-person basis, assuming shared transportation and triple room accommodation (where applicable). Additional Single Supplement charges will apply for double/twin or single room preferences.

Unforeseen Cancellations or Interruptions

In the event of trip cancellation or disruption after the tour has commenced—due to weather conditions, road closures, flight delays or cancellations, vehicle breakdowns, illness, government restrictions, or any other unforeseen circumstances beyond the control of the tour organizers—any actual expenses incurred (as determined by the organizers), along with a service fee to cover administrative costs, will be charged.

Hotel Availability

Hotels listed in the itinerary are subject to availability at the time of booking. In the event that a specified hotel is unavailable, a hotel of equivalent standard will be arranged.

CONFIRMATION

Tours must be confirmed 28 days in advance along with passenger rooming list. Failure to meet the above conditions may result in the cancellation of blocked hotel rooms by the hotels.

PRE-PAYMENT

Upon confirmation, clients are requested to pay 60 percent of the tour cost, with the balance being received at least one week prior to arrival in Pakistan. This pre-payment schedule will be strictly adhered to unless otherwise agreed.

CHANGES TO THE ITINERARY

We have made all attempts to make these programs as accurate as possible. However, in circumstances beyond our control, changes may occur. We therefore reserve the right to change itinerary, carriers and substitute hotels where necessary. We guarantee that where possible, establishments of similar category and standards will be used.

CANCELLATION

Whenever confirmed tours are canceled, we reserve the right to levy normal charges to cover administrative expenses involved, together with whatever cancellation fees that may be charged to us by any company.

Whenever confirmed retreats are cancelled, cancellation charges as below would be applied:

• 28+ days before tour: Processing fee applies; balance refunded.
• 28–21 days before tour: 10% of tour cost.
• 21–14 days before tour: 25% of tour cost.
• 14–07 days before tour: 50% of tour cost.
• 07–01 days before tour: 75% of tour cost.
• Less than 01 day or no-show: 100% of tour cost.

INSURANCE

For your own protection, we recommend that you purchase adequate trip cancellation, medical, baggage, accident and other personal effects insurance. We will be pleased to assist you on your insurance.

FLIGHTS SUBJECT TO WEATHER

All Northern Area flights in Pakistan are subject to weather and backload conditions and thus operate on an ad hoc basis. Should the reserved flight not operate on the day scheduled, alternative surface transportation will be arranged. Any additional costs incurred due to this change must be paid locally.

VEHICLE USAGE AND SEATING CAPACITY

All vehicles arranged for tours are provided with experienced, trained drivers and are operated in accordance with local regulations and road conditions.

Vehicle Categories and Seating Guidelines Sedan (4-Door)

• Maximum capacity: 3 adults (including guide).
• Up to 2 children under 12 years.
• Children aged 12+ counted as adults.

4×4 Vehicle

• Maximum capacity: 5 adults (including guide).
• Up to 2 children under 12 years.
• Seating may include fold-down seats in the luggage area or side-facing fixed seats.

Mini-Van

• Standard capacity: 6 adults (including guide).
• Up to 3 children under 12 years.
• If no children are present, up to 9 adults.

Coaster (Mini-Bus)

• Standard capacity: 12 adults (including guide).
• Up to 6 children under 12 years.
• If no children are present, up to 18 adults.

NATIONAL IDENTITY CARD, PASSPORT AND VISA

All Pakistani passengers must possess their original National Identity Cards, and all non-Pakistani passengers must possess valid passports and obtain a Pakistani visa before coming to Pakistan.

RESPONSIBILITY

Pearl Tours (Private) Limited acts only as an agent for hotels, airlines, transport companies, and other service providers. All services are subject to the terms and conditions of the respective providers. The tour organizers shall not be liable for loss, injury, damage, delays, cancellations, natural disasters, strikes, riots, epidemics, government actions, or any circumstances beyond their control.
